01Who we are
Emergent Edge SA (Pty) Ltd ("Emergent Edge", "we", "us") is a South African company providing coherence training, coaching and practitioner tools grounded in HeartMath methodology.
We are the responsible party for the personal information described here, as defined by South Africa's Protection of Personal Information Act, 2013 (POPIA). Our Information Officer is Alan Strydom, reachable at alan@emergent-edge.com.
02What this policy covers
This policy applies to:
- emergent-edge.com and its pages
- our practitioner tools and programmes, including the Coherence Session Interpreter (CSI), HRV Interpreter, Coherence Tools, Practitioner Workspace, Getting Clear, Conversations with Coaches, HeartMind Leadership and our coach resource pages
- email correspondence with us
It does not cover third-party websites we link to, such as research papers, PayPal or YouTube. Those sites have their own policies.
03What we collect
When you contact us
If you email us, we receive your name, email address and whatever you choose to include in your message. We use it to reply and, where relevant, to arrange coaching or training.
When you buy something
Payments are handled by PayPal. We never see or store your card or bank details. PayPal shares with us your name, email address, the product purchased, the amount and the transaction reference, so that we can deliver your access and keep accounting records.
Access codes and licences
Our paid tools are unlocked with an access code. When you enter a code, it is checked against our licence records to confirm it is valid and which tools it unlocks. Licence records contain the code, its type, its expiry date and internal notes, which may include the name of the person the code was issued to.
Acceptance of Terms of Use
When you first sign in to the CSI, HRV Interpreter or Practitioner Workspace, we record the name you enter, your access code and the date and time you accepted the Terms of Use. This is our record that the licence terms were agreed.
Getting Clear module progress
When you complete a Getting Clear module, we receive the name you entered, the module number and title, how many modules you have completed and the time. We use this to support you through the programme.
04Data kept on your device
Client names, session data, notes and reports you create in the CSI, HRV Interpreter and Practitioner Workspace are stored in your own browser, on your own device. They are not sent to us, and we cannot see them.
This applies to the files you upload for interpretation, the client list you build, progress history and practice details. Getting Clear also saves your progress and work in your browser.
Because this information lives only on your device:
- clearing your browser data, or using a different browser or device, removes it, and we cannot recover it
- you are responsible for keeping that device secure
- as a practitioner, you are responsible for obtaining your clients' consent to record their information, in line with the privacy law that applies to your practice
05AI features
Getting Clear includes an AI coaching companion, and the Practitioner Workspace includes an AI coach. When you use them, the text you type (and the conversation so far) is sent through our server to Anthropic, which provides the Claude AI model, to generate a response. The response is returned to your browser.
We do not store these conversations on our server. Anthropic processes the content to provide the service under its commercial terms. For how Anthropic handles data sent through its API, see Anthropic's privacy policy.
Please do not enter information that identifies a client, such as a full name, contact details or health details, into an AI feature. Describe situations in general terms instead.
06Cookies and website data
We do not use analytics, advertising or tracking cookies, and we do not build profiles of visitors.
- Hosting. Our sites are hosted by Netlify. Like any web host, Netlify processes technical information such as your IP address and browser type in order to deliver pages and protect the service.
- Fonts. Our pages load typefaces from Google Fonts, which means your browser requests them from Google's servers and Google receives your IP address.
- Video. Some pages embed YouTube videos. YouTube may set cookies and collect data when you play a video.
- Browser storage. Our tools use your browser's storage to keep you signed in and to hold the on-device data described in section 04. This is essential to how the tools work and is not used for tracking.
07Why we use your information
We use personal information only to:
- deliver what you have bought and give you access to it
- manage licences and prevent misuse of access codes
- keep a record that licence terms were accepted
- support you through a programme and answer your questions
- meet our accounting, tax and legal obligations
We process it because it is necessary to perform our agreement with you, to comply with the law, or for our legitimate interest in running and protecting our services. We do not sell or rent personal information, and we do not use it for marketing without your consent.
08Who processes it on our behalf
We share personal information only with the service providers we need to run our services, and only for that purpose.
| Provider | What they do for us |
|---|---|
| Netlify | Website and app hosting; receipt of Terms-acceptance and module-progress records |
| Supabase | Hosting of our licence records for access-code checks |
| PayPal | Payment processing |
| Anthropic | AI responses for the Getting Clear companion and Practitioner Workspace AI coach |
| Web fonts; YouTube video embeds | |
| Our email provider | Sending and receiving email, including delivery of access codes |
We may also disclose information where the law requires it.
09International transfers
Several of these providers store or process data outside South Africa, including in the United States and the European Union. Where information is transferred across borders, we rely on providers that are subject to data-protection laws or contractual safeguards offering protection comparable to POPIA.
10How long we keep it
- Purchase records: for as long as tax and accounting law requires. In South Africa this is generally five years.
- Licence and Terms-acceptance records: for the life of the licence, and for a reasonable period afterwards in case of a dispute.
- Programme progress records: while you are active in the programme, and deleted on request.
- Email: for as long as the correspondence is relevant.
Data stored on your device stays there until you delete it.
11Your rights
Under POPIA, and under the UK and EU GDPR where they apply to you, you have the right to:
- ask what personal information we hold about you and receive a copy
- ask us to correct or delete it
- object to how we process it, or withdraw consent you have given
- lodge a complaint with a data-protection authority
To make a request, email alan@emergent-edge.com. We will respond within a reasonable time and may need to confirm your identity first.
In South Africa, complaints can be made to the Information Regulator. In the UK, the authority is the Information Commissioner's Office. We would appreciate the chance to resolve your concern first.
12Security
All our sites are served over encrypted HTTPS connections. Access to licence records is restricted, and keys for third-party services are held on the server, never in the browser. No online service can be completely secure, but we take reasonable technical and organisational steps to protect the information we hold.
13Children
Our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us and we will delete it.
14Changes and contact
We will update this policy when our services or the law change, and revise the date at the top of the page when we do.
